Bilingual Office Assistant
(Full-Time)

Summary: Bilingual Assistant to receive people at the front desk and support the Executive Director and all staff with administrative duties. Ability to supervise, schedule and motivate volunteers. Greet guests at The Conflict Center in a friendly and respectful manner. Answers phone calls and assist the organization by performing the following duties and responsibilities:

Essential Duties and Responsibilities (other duties may be assigned):
1. All-inclusive administrative duties for Executive Director and Manager of Operations including:
• Generate executive level, professional correspondence on a regular basis
• Generate reports, utilizing various Access, Excel and web based databases.
• Organize and plan meetings for E.D. and funders, integrating various Microsoft programs
• Phone reception in both English and Spanish
• Recruit/ supervise both English and Spanish speaking volunteers to answer phones on a regular basis
• Track, edit and maintain publications including: fax sheets, newsletter, brochures, handouts, etc.
• Prepare packets for the Board of Directors on a monthly basis
• Manage and maintain filing system for the Executive Director
• Translate documents into Spanish
• Conduct all of the above with minimal supervision

2. Provide administrative support to Program Staff, including
• Manage various room requests, often with competing priorities
• Track time sheets for Program Staff
• Take registrations and payments for classes
• Mail registration letters and information to clients.
• Print attendance sheets and certificates for classes
• Report to court referral agencies about client attendance.

3. Provide general administrative support to the organization, including:
• Greet all visitors in a friendly, welcoming manner and direct them to the appropriate person
• Monitor handouts in supply room, making additional copies when necessary
• Monitor office supplies, notify the Manager of Operations when supplies are low, check in new supplies
• Monitor building maintenance needs and call relative maintenance service when repairs are needed with approval of the Manager of Operations
• Manage all aspects of outgoing mailings
• Check email/ voice mail and fax on a regular basis, including general email box, directing to appropriate staff

Qualifications:
• Fluent English and Spanish proficiency required
• 3 years general office experience or equivalent education
• Skills in integrated Microsoft applications including: Outlook, Excel, Access, Powerpoint and Word
• Self-motivated, professional, self-starter with a “can do” attitude and a strong work ethic
• Advanced customer service skills
• Ability to manage multiple priorities and multi-task
• Experience preparing written reports
• Strong writing skills

Additional Skills and Experience Requirements:
Strong written and verbal communication skills, ability to meet deadlines, work under pressure, and follow-through, as well as good time management and organizational skills. Commitment to practicing and promoting nonviolence as well as willingness to practice conflict and anger management skills.

Salary: $24,000- $26,000 with Benefits

Marketing and Communication Specialist

This position is responsible for overall promotions and marketing of The Conflict Center’s programs and events. This position will recruit, manage and supervise communication and marketing interns and work with agency leadership to develop and implement a comprehensive marketing and communication plan.
Duties and Responsibilities (other duties may be assigned):
Communications:

- Coordinate and disseminate regular volunteer E-notes
- Coordinate and disseminate quarterly E-newsletter and print communications twice a year
- Coordinate dissemination of communications to TCC community and potential supporters
- Package and disseminate program updates and evaluation results
- Responsible for design and production of various TCC marketing materials
Community Visibility:
- Responsible for updating TCC website. Conduct regular audits on TCC website and work with key volunteers and staff to keep it updated.
- Regularly review and update community websites, ie. Giving First, United Way, RSVP, Metro Volunteers.
- Participate in community information events and speaking engagements
- Research and implementation of innovative marketing communications to build awareness for TCC
Media Relations:
- Keep media lists up to date
- Write and issue regular and pertinent news releases
- Work with local and neighborhood newspapers and newsletters to promote TCC events and programs. Proactively pitch stories about TCC to local and neighborhood news media
- Build relationships with local media contacts
Qualifications:
Bachelors degree in communications, marketing or related field
Bilingual candidate preferred
Five or more years of experience with marketing, promotions and outreach activities in the nonprofit field or equivalent combination of education and experience
Excellent verbal and written communication skills; excellent presenter and interpersonal communicator
Highly organized, ability to multi-task, deadline oriented
Working knowledge of word processing, data base and web and some design software and functions.
Ability to work with interns and volunteers individually and in committee structures
Passion and commitment for peacemaking and the work of The Conflict Center
Salary: Salary range $14,500 - $16,000 for 20 hours per week
